SUMMARY:

We’re seeking an experienced Lease Administrator for the Butler Shopping Center District’s existing tenants and future tenants. Responsibilities will include lease document review, lease abstracting, database entry and updates, and lease reporting. The Lease Administrator will oversee all property leases and related communications.

The ideal candidate will have seasoned experience in the commercial real estate shopping center industry. The Lease Administrator is responsible for leading the lease administration, and functions for the Butler Shopping Center District portfolio. Responsibilities include overseeing the accurate and timely entry of new leases and renewal extensions into the Yardi database, the integrity of the database, support leasing tenant sales reporting, estoppel and SNDA preparation and tracking, coordination of tenant audits, and any other roles needed by ownership.

ESSENTIAL DUTIES and CORE RESPONSIBILITIES:

  • Review and accurately abstract all fully executed lease documents, amendments, and license agreements into the lease management system.
  • Distribute promptly finalized lease information and documentation to appropriate parties.
  • Review and verify renewal notices and commencement agreements and timely update the lease management system accordingly.
  • Maintaining and enforcing the lease administration policies, procedures, and business process flows.
  • Manage lease options and encumbrances in the lease management system.
  • Act as the point person for lease-related questions and lease management system inquiries.
  • Assist with lease research for pending deals, leasing reports, tenant buyouts, and/or early terminations as necessary.
  • Participate in the development of various policies and procedures of lease administration and leasing software.
  • Provide timely and accurate preparation and/or assist with monthly, quarterly, annual, ad hoc reports, and lease abstraction.
  • Track operating expenses and real estate tax reconciliations, percentage rent, and security deposits based on client needs and report accordingly.
  • Assist with new business presentations as necessary.
  • Creating tenant accounts in Yardi real estate software for new leases, amendments, and changes and setting up all current and future billings.
  • Performing monthly routines: rollovers, holdovers, and status updates.
  • Provide Default notices to tenants for failure to pay rent. Work with outside counsel coordinating any eviction processes.
  • Design, document, recommend, and implement changes with software systems.
  • Troubleshoot issues with tenants when called upon for reconciliation questions, lease questions, and notifications regarding work performed in common areas.
  • Ensure that the President of Butler Enterprises is consistently updated regarding tenant performance.
  • Ability to work with architects, engineers, and external legal counsel.
  • Track and monitor tax assessments and work with the legal team on tax appeals and tax lawsuits.
  • Coaching and mentoring the lease administration team.

EDUCATION, REQUIREMENTS, and PREFERENCES:

  • Strong knowledge of commercial real estate documents and the leasing process with an ability to apply this understanding in performing job responsibilities.
  • Experience with lease database software is required specifically Yardi.
  • Provide a high level of attention to detail for reliable accuracy.
  • Must consistently demonstrate excellent communication with internal and external partners (both verbal and written), organizational, and analytical skills.
  • Knowledge and understanding of the basic accounting and finance principles and familiarity with their applications flow and impact with respect to real estate analysis.
  • Proficiency in PC-based software, especially MS Excel, Word, and PowerPoint; Must have the ability to accurately develop various types of logical reports.
  • Exceptional interpersonal skills, positive attitude, friendly, helpful, and responsive.
  • Ability to multi-task, delegate, prioritize, finalize projects, and resolve lease disputes.

EDUCATION

  • Bachelor’s degree (or equivalent) in a related field. – Preferred
  • A minimum of 8 – 10 years experience:
    • Commercial real estate and lease administration
    • MRI or Yardi – Financial Technology Experience
    • Retail Accounting
    • Budgeting and business planning

Computer Skills

  • Advanced working knowledge of Microsoft software applications (E.g., Word, Excel, Outlook, and PowerPoint). Real Estate accounting software is a must

Language Skills

  • Must effectively communicate, cooperate, and collaborate with multiple backgrounds from leasing, legal, real estate brokers, contractors, and city employees.
  • Must read, analyze, and interpret the most complex documents, e.g. lease documents, estoppel certificates, SNDA’s, assignments, etc.
